Build a Notarial CRM System

The purpose of this project is to modernise the way a Notaries firm organises its client and job records using a secure webpage, populate custom and Government forms, provide on-line access to clients (for client’s data only) and reduce the time for daily clerical office work. At the two Notarial offices located in separate locations in Malta, all Notaries working with the firm have an old, custom-made program (developed in AREV a long time ago) to keep track of all jobs and clients (CRM). This program is run from both offices and share common data. I have been put in charge to gather all system requirements and provide the link between the project developer and the Notary to upgrade this system into an online database of records containing: - Jobs - Clients (including a history of events) - Firms - Properties - Banks - Brokers - Interdicted Persons - Files - Searches This information needs to be linked by a job number however each client can have more than one job and can be a vendor, a purchaser, a broker or a creditor. Clients have a unique ID Card number (or Passport number) which identifies them. I can provide some help with database diagrams. With room for scaling, this database should present the Notaries with: - an employee username login (used for tracking purposes) - sending emails and reminders to clients - printable letters for notifying clients of events - attachment of documents (ex. ID card scans or property plans) - a file reference which refers to an internal file stored in an archive - client login facilities to check status of their job/s The database must be stored on the current server and data needs to be available for export on numerous MS Word documents and MS Excel forms. Further information will be given to the winner of this project with sample data, field formats, options & limitations and exported data from the old system. Furthermore, a brand new website domain and hosting facilities will be purchased according to the requirements asked by the winner. This secure database will contain sensitive information therefore a system to securely store and protect all data from unauthorised access must be in place. The online system should be accessible from PC's and, in later stages, on Android devices.
