We are looking for a Virtual Assistant job to help us to organize meetings at a trade fair / market. We are a production company and we will be attending MIPTV TV Market in April in Cannes (France). We are selling a documentary to TV Channels around the world. Most of them already know about the documentary (read it in the trades, magazines, web, etc). The job we are looking for includes: 1. Update info in our +200 contacts database. Research MIPTV database of attendees and update our database with that info. Get direct contacts of buyers. Instructions will be provided on how to get this information. This needs to be done on our CRM system. 2. Out of this database we will send an email announcing that we are attending the market giving contact for book meetings. VA needs to access company email (Google Mail based) to get emails confirming meetings. 3. One week later, VA needs to email all the contacts (except the ones who already reply), alerting for the need to book the meeting ASAP with one of beActive’s sales persons. 4. Two weeks later, VA needs to call all the contacts (except the ones who already reply), trying to book a meeting so beActive’s sales team can present the documentary to them. 5. Buyers may request for a Link to watch the documentary (VA send that link), or a DVD (VA will inform beActive daily with a list of addresses where to send the DVDs) or more information on prince. IF they ask for price, that buyer contact will be redirected to beActive’s sales team. 6. The goal is to contact everybody (+200) in the database by phone, book at least 50 meetings with buyers for the 3 days of event (mid-may) and get at least 10 leads. 7. All the interactions (mail, email, phone, etc) need to be registered in our CRM system. We would like to get your quote to do this service. Our estimate is to be done between 1st Feb to 15th April. About one hour per day. Service needs to be provide by someone with English as first language. Thanks, Nuno
