We are a small ( 3 to 5 homes per year) custom homebuilder in Evergreen Co. Our most immediate need is preparation of payment requests (Draw requests) to lenders and homeowners. We use a customized (VBA code automated) Excel workbook for draws. Basically after the invoices are reconciled the information is entered on the draw sheet and then there is a button to click that disperses that information to Cost To Date sheets by draw, payee and cost code and also updates the cost to date by line item on the variance report. Book keeping tasks Draw Preparation 1. Receive invoices ( download or via email) 2. Organize / audit Invoices a. Reconcile contract + change orders - paid to date-retain for work not yet performed etc. b. Check budget and contract / P.O. amounts c. Check Paid to Date from Draws report d. Calculate over / under e. Fill out builder's Risk Insurance reporting form and add copy to each job f. Verify subcontractor's General Liability Insurance is current g. Verify subcontractor's W9 form is on file 3. Enter Invoices onto Draw Request Form 4. Update Job Cost Report - Compile draws in excel VBA "program" that we have created 5. Send to Randy to review / approve 6. Finalize cover sheet Other Tasks 1. Create and track Purchase orders and Work Orders 2. Process / Reconcile invoices 3. Track subcontractor Insurance certificates 4. Prepare + distribute 1099s at year end
