## Deliverables

Hi, this be a database design, most likely inAccess. We have a seasonal business which now requires some automation, as itjust takes to long to produce in our short window of production.

We produce Xmas Cards and Calendars forschools. The artwork is draw by the children we then scan in put into a DTPpackage and produce personal cards and calendars for the children with theSchool Name and Child's Name.

At the moment it is all produced manually thisneeds to be automated.

Listed below is how we wish to produce:-

[url removed, login to view] / Customer books the project, detailsrequired to start are Organisers Name, School Name, Address, Tel, Email and howmany children are at the school.?

2. We then send a pack of templates to theschool normally children +10%

The template is A4 sheet of white paper with aSquare printed on it, the child draws the picture in the area. Under the imagethere is an area for the parent/ teacher to write Name, Age, Card or calendarrequired and the amount 1 pack, 2 Packs etc... or 1,2,3 Calendars. There willneed to be a barcode printed on each template to complete the 'closed loop'production.

3. Once we have received the artwork from theschool, all the templates will be scanned on a hi speed colour scanner @200dpi. Each image will be around 500 KB. The system will need to handle 10000+of this files for processing.

4. This will the start of the production, thedatabase will need to import 1 or all of the pictures (1-25, 26-50 maybe)

So with the pile of artwork to one side of theoperator each one will be imported on the screen the operator will see a windowwith the template to one side the other side will be for data input theoperator will check from the original artwork and input Name, School and whatis required (Cards 2 Packs etc…) whether there is a greeting inside the card ornot (only one text will be used for the inside), then the image will bepositioned this will require X & Y adjustment and % will supply drawing tohelp. During this time if possible the database will need to ‘read’ the barcodeto give each job a ID, this can be read by a hand held scanner at the end ofthe production process to ‘check off’ each pack of cards and to allow a reprintif needed. Also a search function will be needed if we do not have the barcode [url removed, login to view] phones for extra packs, school, name etc…?

5. Once the operator has started, when a newtemplate is imported the school will be added automatically to aide speed, allthe work will be produced in batches of cards and calendars

6. At any point during the production theoperator can print these cards, this were the database will take over, so theoperator can print batches of these cards to the printer (1-100, 1-250 etc..)

7. The database will need to automaticallyimport the image(s), text on to a template with company logo and barcode, thecards are produced on a Colour digital press on SRA3 Board the cards will be 4on each sheet, so the database will need some sort of PS driver output, driverswill be supplied. I will supply images/ pics to help understanding.

There will be some rules for the database touse the correct files, but will be fairly straight forward (same pack amountstogether, greeting on inside together, because of the finishing processinvolved the cards can only be produced in two’s or four’s I will show why on apicture.

8. That covers the most important part, somemore straight forward things would be some functions at the front end, customercapture before booking, standard info pack letter, search for mailshots infollowing campaigns, standard stuff I would guess.
