Need simple CRM tool built to follow up with incoming leads

If you don't know what CRM is, then you're probably not the right candidate for this job. However, I invite you to view my ideas below. Basically, I need a system built for my staff members to enter leads (name, email, phone, address) and a way to keep us all on track. Right now, we're a mess. I've considered softwares but some do TOO MUCH. I just want something simple that is built just for US. We put in lead. It tells us when to follow up. We follow up, update record. And it keeps reminding us to follow up until record is marked as complete. That is the main idea. See the rest of this post for the details. Serious coders only. Will not accept anyone who posts their long resume. I want to know that you've read my post and understand my NEEDS. I don't want to know who you are.

## Deliverables

I've thought about buying a CRM system but either the programs are too much for what I want to do or not enough.

Here's what I want:

1) Either an online app or a windows application (preferred) that can accept this information:

Customer name (required)

customer e-mail (optional)

customer phone (optional)

customer address, city, state, zip, country (optional)

Reason for contact: (two drop down menus: one is labeled SALES and the other is labeled SUPPORT)

Left voicemail for us

Called us

Ordered but declined

Other: (text form)

Additional comments (REQUIRED; textarea box). I would also like a drop down underneath with common comments that can be prepopulated into the text area box. Here's the list of common comments.

"Customer wants to order or is interested in products: _______"

"Customer is inquiring about the shipment of their order"

"Customer needs product replacement"

"Customer wants refund or inquiring about refund"

"Customers wants to contact Jermaine"

"Customer is inquiring about affiliate program"

2) Admin area is able to define drop down boxes and new fields and whether they are required or optional.

3) The most important part is something to REMIND my team members what to do. I want them to follow up with each person up to 3 times until they are able to talk with them LIVE. I need a system that keeps track of who to call next. The simpler the better. I don't want anything real advanced. The simpler the better.

I could see this as a simple list that separates people into:

INITIAL CALL

FIRST FOLLOW UP

SECOND FOLLOW UP

COULDN'T BE REACHED AFTER 3 ATTEMPTS

Then there is a little drop down menu next to the customer's name that says:

SPOKEN LIVE WITH CUSTOMER, COMPLETED.

SPOKEN LIVE WITH CUSTOMER, INCOMEPLETE. FOLLOW UP LATER

RECEIVED E-MAIL REPLY FROM CUSTOMER, COMLETED.

COULDN'T REACH CUSTOMER, FOLLOW UP LATER

LEFT VOICEMAIL, FOLLOW UP LATER

If they choose anything except for the COMPLETED options, the system will display another drop down that has a list of times to follow up in.

(Note to programmer: I'm just brainstorming this thing as best I know how. If you notice something critical that I have left out, please suggest or proactively add it. It will be greatly appreciated. REMEMBER BIG BUTTONS AND SIMPLICITY).

4) Interface should be simple. I would even like a simple link at the top that says "CONDUCT CALLS NOW" and what this does is pop up a window with huge writing:

ADDITIONAL COMMENTS / NOTES

(It's ok to have scroll bar)

Then it would have the options I spoke of above ("Left Voicemail, Follow up later"). An option must be selected for my staff to move on to the next person.)

Next, is a summary screen where my staff can go and see an actual list of EVERY ACTIVE LEAD in the system (someone who has not been labeled "COULDN'T BE REACHED"). They can click on individual names and conduct the calls that way as well.

Lastly, is a DAILY scren where my staff can go and see what needs to be DONE today. This is a mixture of everything.

The summary sentence would say:

Today (January 29), there are 16 new inquiries to call, 45 follow up #1s to call, 23 follow up #2s to call, and 13 follow up #3s to call for a total of 97 calls.

Then it would list the same summary separated by the different groups: new inquiries, follow up #1, follow up #2, follow up #3.

5) The most important part is that the data is centralized. Even if it's an EXE app they install on their computers and log into, I need to be able to log into some admin and see EVERYTHING that's going on at any given time. I want to see the same admin screen they are seeing and which staff member has done the follow up calls. I want to see which have been completed and which have not been completed.

I would like a basic report like this:

1) How many new inquires entered per day? This can be a simple text list that grows over time. No need to make things complicated by creating searching and sorting unless there is simple way to do it. The worst case scenario is after a year, I have 365 lines of data. As long as the latest date is on top, I don't care.

A list like this:

1-1-09: 25 new inquiries

1-2-09: 11 new inquiries

1-3-09: 12 new inquiries

1-4-09: 22 new inquiries

1-5-09: 27 new inquiries

2) Current state: How many total leads are ACTIVE vs INACTIVE (not at the "couldn't be reached status"), and how many are at each level.

Total Active: 234

Total initial calls pending: 14

Total 1st follow up calls pending: 25

Total 2nd follow up calls pending: 39

Total 3rd follow up calls pending: 32

Running total completed in past: 450 (this links to report #3; see below)

Total inactive (couldn't be reached): 78 (this links to report #4; see below)

3) Completed inquiries

Just like new inquires, this is a simple text list:

1-1-09: 25 completed inquiries

1-2-09: 11 completed inquiries

1-3-09: 12 completed inquiries

1-4-09: 22 completed inquiries

1-5-09: 27 completed inquiries

4) Inactive inquiries

Just like the previous report, this is a simple list of those that couldn't be completed but it lists customer name and phone number and linkable to their record:

5) Leave room for suggestions. Since I just designed this thing in my head, I'm almost positive I'm missing some key elements that we'll probably see once we get there. But it can't be too bad. I just want a basic system that I can put simple leads into, and that will be impossible for leads to fall through cracks and not be followed up with at least 3 times... that's it. That's the end result and if you can make it happen, we can work together.

6) Multi staff log in. Admin needs to be able to make new users and passwords for staff.

2) Deliverables must be in ready-to-run condition, as follows? (depending on the nature? of the deliverables):

a)? For web sites or? other server-side deliverables intended to only ever exist in one place in the Buyer's environment--Deliverables must be installed by the Seller in ready-to-run condition in the Buyer's environment.

b) For all others including desktop software or software the buyer intends to distribute: A software? installation package that will install the software in ready-to-run condition on the platform(s) specified in this bid request.

3) All deliverables will be considered "work made for hire" under U.S. Copyright law. Buyer will receive exclusive and complete copyrights to all work purchased. (No GPL, GNU, 3rd party components, etc. unless all copyright ramifications are explained AND AGREED TO by the buyer on the site per the coder's Seller Legal Agreement).

## Platform

Either app or web based. I prefer app because it's just cooler but either way. For use with windows.
