I have a website where I receive orders that process through a merchant account and email me each transaction's details. I then have to manually enter all of those details into QuickBooks to create an invoice.
I would like an application that would monitor my email (POP based, currently set up in Windows Live Mail) and allow me to automate the process of entering invoices in QuickBooks to remove the middle step.
## Deliverables
The application should show all of the orders that haven't yet been handled. For each order, I should be able to:
- Import into Quickbooks as an invoice (Invoice)
- Print the invoice automatically after creating it (Print)
- Delete the order if it's a duplicate (Delete)
I should be able to select any of these actions for multiple orders, and then click a button to execute the actions automatically.
Example:
Order No. Placed Customer Name Total Invoice Print Delete
123 11/8/2010 Customer A $140.00 [X] [ ] [ ]
124 11/8/2010 Customer B $10.00 [X] [X] [ ]
125 11/8/2010 Customer C $60.00 [ ] [ ] [X]
126 11/8/2010 Customer D $80.00 [X] [ ] [ ]
[ Process Orders ]
Upon clicking Process Orders, order 123 should create an invoice in Quickbooks, order 124 should create an invoice and then print it, order 125 should be deleted from the list of orders, and order 126 should create an invoice in Quickbooks.
Once an order has been processed, it should be archived on a separate page/tab where it could be viewed later and re-invoice/printed if needed. Deleted orders would not need to be archived.
All of the information needed to create the invoice is included in the order email. See the attachment as an example. Invoice numbers would be sequential, but the current/starting number should be able to be changed/adjusted.
If you plan on having the application interface directly with the POP mail server, that's fine, but the server settings and mail account should be able to be configured/changed. I would also like to be able to configure the subject of the messages to be monitored in the event it ever changed. The application should leave a copy of the messages on the server.
If you have any questions, please let me know.
