I am a small business owner of a mobile swim school that I run from home. We have locations in Houston, Austin and Miami currently, with plans to expand into at least 4 more cities. We send instructors to people's homes and neighborhood pools to teach their lessons. We usually have anywhere from 4-10 instructors that work for us in each city that we have to schedule lessons for. We are very heavily attached to Google apps, as we use the calendar to provide the necessary info (address, phone number, mom's name, notes etc.) to our instructors. This then gives them the ability to talk directly with the client if an issue were to arise while en route to the client's home, see what days the client is scheduled for and know all relevant information about the client and student prior to arriving for their first lesson.
The process for us getting to that point would be along the lines of the following:
Client calls and gets info over the phone or sends an email inquiry. We then direct them to fill out our online registration form. This registration form is then submitted and all of the relevant info is captured to our CRM. I then get an email notification seeing that we had a new client register. I look at their preferred times and days the client wants to swim and then look for an instructor that covers their area and has availability at the requested times. Once I have confirmed an instructor to work the classes, I then contact the client to confirm and take payment. At this point the sales process is complete and the client will usually call back when their package is complete to continue and buy another package of lessons.
It is a fairly simple sales cycle, but I would like to tighten it up and be able to do that through our CRM. Some of the things I really would like for my CRM to do are:
Take our registration information directly from our website and populate the required fields in the CRM.
Allow me to use my business email address, but communicate from the CRM to the client so that all communication is tracked.
Allow me to schedule appointments for all of our instructors from the CRM and have it sync with Google Calendar without having to sign them up as a user on the CRM.
Allow me to build customize-able macros to send automatic emails for birthdays, renewals, announcements of specials etc.
Ideally, it would be able to filter instructors by city/availability/area of coverage etc for faster searching of matches to clients
sales and marketing reporting
Social Media Integration
The right programmer will have experience with the following...
Zoho specific CRM programming
Google apps programming and integration.
Must be available for communication during the hours of 11am-7pm CST. Not necessarily the entire 8 hours, but at least half of that time.
