We are seeking assistance to complete a database in excel for around 2250 entities. There are several information items per entity that need to be looked up and entered into the database. They’re: 1. 2013 Annual report lodgement date 2. 2012 Half year report lodgement date 3. Audit Partner 4. Audit Firm 5. Total 2013 Directors fees 6. Total 2012 Directors fess 7. 2013 Auditor fees 8. 2012 Auditor fees 9. 2013 Auditor fees other 10. 2012 Auditor fees other 11. 2013 Current borrowings 12. 2013 Non-current borrowings 13. Bankers name 14. Share registry 15. Solicitors/Lawyers/Legal advisors name Follow these steps. NOTE: All numerical amounts that are to be input must be in $0,000,000 Beware as some annual reports (source of data) round numbers to the nearest $1,000 (represented as $’000 at the top of the report column). 1. Go to [login to view URL] 2. Using the ASX code under the column heading “CUR CODE” which can be found in the spreadsheet, type this into the “Search by ASX Code”. 3. Below where it says “Time Frame”, select “released during” 2013 (you will need to select this from the drop down menu). 4. The press “Search” 5. A list of announcements for the entity will then be displayed. 6. If nothing is returned, try using the “Old Code” if there is one and repeat steps above. 7. If the notice “NOTICE - the company code entered is no longer listed” is shown, match the “Company Name” to the one shown down the page and select “view available announcements for this company”. 8. The first dot point can then be found via looking down this list and searching for “Annual Report” or “Full Year Accounts”. The document should (but not always) have a small red “$” next to it in the “Price Sens.” column. This document will also generally be 50+ pages in length. 9. Record the date of its release, which appears in the far left column. 10. The second dot point can then be found via looking down the list and searching for “Half Year Accounts” or “Half Year Report”. The document should (but not always) have a small red “$” next to it in the “Price Sens.” column. 11. Record the date of its release, which appears in the far left column. 12. To find the remainder of the information items you will need to click on the blue “PDF” link next to the “Annual Report” or “Full Year Accounts” announcement. 13. Report opens. 14. To assist with searching, use the “Contents” of the Report. “Audit Partner” can be found by searching for “Independent Auditor’s Report” within the document. 15. “Audit firm” is on the same page. 16. Points 5 and 6 can be found within the “Directors Report”. 17. The amount to include in the spreadsheet should include only Directors and must exclude other executives. “Executive Directors” should be included. 18. Points 7 through 10 inclusive can be found under the Note “Auditors Remuneration” or “Remuneration of Auditors” or equivalent. 19. “2013 and 2012 Audit (or sometimes referred to as Assurance) fees” should be separate from all other fees. Other fees could be listed separately as Taxation, Consulting, Due diligence. If they are listed individually, these fee items should be added together and input as a single number within the spreadsheet. 20. Points 11 and 12 can be found by referring to the “Statement of Financial Position” within the document. 21. Once the “Statement of Financial Position” has been located, look under “Liabilities” (liabilities can be broken into two headings, Current Liabilities and Non-current Liabilities). “Borrowings” could sometime be referred to as “Interest Bearing Liabilities”. 22. Enter both the current and non-current amounts (if there are any) into the spreadsheet. Leave blank if there aren’t any. 23. Points 13 through to and including 15 can generally be referenced from one of the first or last pages of the document. Usually (but not always) there is a “Corporate Directory” that will include this information. See example at the top of the spreadsheet.
